Operations Associate (Fractional)

We’re looking for a part-time contractor to own the administrative backbone of our business. You’re great at taking an assigned task, figuring out the details and steps, and getting it done. You’ll work directly with our leadership team and touch everything from client invoicing to intern onboarding.

Hours are flexible and will vary month to month, but generally land around 10–20 hours per month.

What You’ll Do

• Client invoicing. Generate and send invoices accurately and on time in QuickBooks Online, track payment status, and follow up when needed.
• Payroll and contractor payments. Process payroll and make sure contractors are paid correctly each cycle, via Gusto.
• Employee onboarding and offboarding. Coordinate the logistics of bringing new team members on and transitioning people out smoothly.
• Internal organization. Keep our internal systems tidy and up to date, and help with general operational tasks as they come up.

What You Bring

Must-Haves

• U.S.-based only.
• Strong attention to detail. You catch things others miss.
• Familiarity with AI tools (ChatGPT, Claude, etc.) and comfort using them in your workflow.
• A self-sufficient work style. You don’t need a lot of hand-holding to get moving.
• Experience with Notion for documentation and project tracking.
• Experience with Slack for internal communications.
• Solid experience with QuickBooks Online (QBO) and Gusto.
• Clear, professional communication.

Nice-to-Haves

• Comfortable working in Google Drive and Google Sheets.
• Exposure to SaaS tools broadly, or a proven ability to pick up new software quickly.
